Refund Policy
Effective Date: December 4, 2025
Last Updated: December 4, 2025
1. Overview
Providence Kingdom is a faith-driven nonprofit organization dedicated to strengthening ministries and communities across Africa. We deeply appreciate the generosity of our donors who make our mission possible. This Refund Policy outlines our approach to donation refunds and related matters.
2. General Donation Policy
2.1 Voluntary Nature of Donations
All donations to Providence Kingdom are voluntary contributions made to support our charitable mission. Donations are not purchases of goods or services, and we do not provide goods or services in exchange for donations.
2.2 Non-Refundable Donations
As a nonprofit organization, donations are generally considered final and non-refundable once processed. This policy helps us:
- Efficiently allocate resources to our mission
- Maintain financial sustainability
- Honor commitments made to beneficiaries and partner organizations
- Ensure donated funds reach those in need without delay
2.3 Tax Deductibility
Donations to Providence Kingdom may be tax-deductible to the extent permitted by law. Once a donation receipt has been issued for tax purposes, refunding the donation may affect your tax records. We recommend consulting with a tax professional if you have questions.
3. Circumstances Where Refunds May Be Considered
While donations are generally non-refundable, we will consider refund requests under the following limited circumstances:
3.1 Processing Errors
If an error occurs during the donation process that results in:
- Duplicate charges to your account
- An incorrect donation amount being processed
- Technical errors causing unintended donations
Action Required: Contact us within 30 days of the donation date with proof of the error. We will investigate and issue a refund if the error is confirmed.
3.2 Unauthorized Transactions
If your payment method was used without your authorization:
Action Required: Contact us immediately and provide documentation. You may also need to contact your financial institution. We will work with you to resolve unauthorized transactions.
3.3 Fraudulent Activity
If you believe a fraudulent transaction has occurred:
Action Required: Contact us immediately at [Insert Email] and notify your bank or credit card company. We take fraud seriously and will cooperate fully with investigations.
3.4 Deceased Donor Estates
In the unfortunate event of a donor’s death, estate representatives may request refunds for donations made shortly before death under certain circumstances.
Action Required: Provide appropriate legal documentation (death certificate, letters of administration, etc.) and context for the request.
4. Refund Request Process
If you believe your situation qualifies for a refund under the circumstances outlined above:
Step 1: Contact Us
Reach out as soon as possible via:
- Email: donations@providencekingdom.org
- Subject Line: “Refund Request – [Your Name]”
Step 2: Provide Information

- Your full name
- Email address used for the donation
- Date of donation
- Amount donated
- Transaction or receipt number (if available)
- Detailed explanation of why you are requesting a refund
- Supporting documentation (bank statements, error messages, etc.)
Step 3: Review Period
We will review your request within 10 business days and contact you with our decision.
Step 4: Resolution
If approved:
- Refunds will be processed to the original payment method
- Processing time: 7-14 business days depending on your financial institution
- You will receive confirmation via email
If denied:
- We will provide an explanation for our decision
- You may appeal the decision by providing additional information
5. Time Limits for Refund Requests
Refund requests must be submitted within:
- 30 days for processing errors or duplicate charges
- 60 days for unauthorized transactions (also report to your bank immediately)
- No time limit for proven fraudulent activity
Requests submitted after these timeframes may not be honored unless exceptional circumstances apply.
6. Designated Donations
6.1 Project-Specific Donations
If you designate your donation for a specific project (such as a particular building project, scholarship fund, or technology initiative):
- We will make every reasonable effort to use your donation as designated
- If the designated project is completed, cancelled, or fully funded before your donation can be applied, we reserve the right to redirect funds to a similar project or to our general operations
- We will notify you if significant changes affect how your designated donation will be used
- Refunds for designated donations are subject to the same policy as general donations
6.2 Memorial or Tribute Gifts
Donations made in memory or honor of someone are subject to the same refund policy. Due to the sensitive nature of these gifts and potential notifications sent to honorees or families, refund requests for memorial gifts require additional consideration.
7. Recurring Donations
7.1 Cancellation
Recurring donations can be cancelled at any time by:
- Logging into your donor account (if applicable)
- Contacting us via email or phone
- Sending written notice to our mailing address
Cancellations take effect in the next billing cycle. You will receive confirmation of cancellation.
7.2 Refunds for Recurring Donations
Previous installments of recurring donations are subject to the same refund policy as one-time donations. Cancelling a recurring donation does not automatically refund previous payments.
8. Payment Method-Specific Policies
8.1 Credit/Debit Card Donations
- Refunds are processed to the original card used
- Your financial institution may take 7-14 business days to post the refund
- For disputes, you may also contact your card issuer directly
8.2 Bank Transfer Donations
- Refunds are processed via bank transfer to the originating account
- Processing may take 10-14 business days
- International transfers may take longer and may be subject to fees
8.3 Mobile Payment Donations
- Refunds are processed through the same mobile payment platform
- Processing times vary by platform (typically 5-10 business days)
8.4 Check or Cash Donations
- Refunds will be issued by check mailed to your address on file
- Allow 2-3 weeks for processing and delivery
9. Tax Receipt Implications
9.1 Refunded Donations
If a donation is refunded:
- You must not claim the refunded amount as a tax deduction
- We will provide documentation showing the refund for your tax records
- If you have already filed taxes claiming the donation, you may need to file an amended return
- Consult with a tax professional regarding your specific situation
9.2 Amended Tax Receipts
We will issue an amended or cancelled tax receipt for refunded donations as required by tax regulations.
10. Non-Monetary Contributions
This Refund Policy applies to monetary donations. For questions about in-kind donations (goods, services, property), please contact us directly as different policies may apply.
11. Fees and Charges
11.1 Transaction Fees
Providence Kingdom absorbs most payment processing fees. However:
- If a refund is issued, transaction fees paid to payment processors may not be recoverable
- In cases of fraudulent or abusive refund requests, we reserve the right to deduct actual processing costs from refunds
11.2 Bank Fees
We are not responsible for fees charged by your financial institution related to donations or refunds.
12. Disputes and Appeals
If you disagree with a refund decision:
- Submit a written appeal to donations@providencekingdom.org within 14 days
- Include additional documentation or information supporting your request
- Appeals will be reviewed by senior leadership within 10 business days
- The appeal decision is final
13. Chargebacks
13.1 Our Position
We strongly discourage initiating chargebacks through your financial institution without first contacting us. Most issues can be resolved directly and more quickly.
13.2 Chargeback Process
If you initiate a chargeback:
- We will respond to your financial institution with transaction documentation
- Unjustified chargebacks may result in restrictions on future donations
- We reserve the right to recover costs associated with unwarranted chargebacks
14. Fraud Prevention
To protect donors and our organization:
- We monitor donation patterns for suspicious activity
- Unusually large donations may require verification before processing
- Multiple refund requests may trigger additional review
- We reserve the right to decline donations or refund requests that appear fraudulent
